Does EMMA replace receptionists?

Patient Safety and Clinical Governance
What happens if a patient has an emergency?
EMMA recognises urgent situations immediately. She identifies keywords and phrases that indicate emergencies and either directs the patient to call 999 or 111 straight away, or transfers the call to the surgery team. Patient safety is built into every interaction. EMMA does not make clinical decisions. All clinical judgements remain with your practice.
What if a patient needs to speak to a person?
EMMA transfers the patient immediately. Any patient who asks to speak to a human is connected to your reception team without delay. Patients are never forced to interact with AI only.
Does EMMA access patient records?
No. EMMA has no access to patient records, prescribing systems, or medication history. She captures what the patient tells her, passes it to the surgery team, and the clinical team acts on it. EMMA is the message taker, not the decision maker.
How is EMMA clinically governed?
A dedicated Clinical Safety Officer oversees all deployments. Every release is clinically reviewed under NHS clinical safety standards DCB0129 and DCB0160. QuantumLoopAI maintains a full Clinical Safety Hazard Log with formal sign-off at every release. Our Advisory Board is chaired by Sir David Sloman, former Chief Operating Officer of NHS England.
Data and Security
Is patient data safe with QuantumLoopAI?
Yes. EMMA is fully DTAC certified, DSPT compliant, Cyber Essentials Plus certified, and UK GDPR compliant. All patient data is processed within NHS-approved Microsoft Azure data centres in England, encrypted using AES-256-bit encryption in transit and at rest. Data never leaves the UK.
Who controls patient data?
Your surgery remains the data controller under UK GDPR. QuantumLoopAI acts as the data processor, handling information only under your instruction and solely for the purpose of supporting patient care. A Data Processing Agreement clearly defines these roles.
Does QuantumLoopAI share or sell patient data?
No. QuantumLoopAI never shares, sells, or repurposes patient data for any non-clinical use. Patient data remains under your control, within the NHS environment.
What happens if a call drops?
SOPHIA, QuantumLoopAI's intelligent SMS follow-up assistant, automatically contacts the patient by text so they can complete their request without calling back. QuantumLoopAI achieves a 41% average re-engagement rate through this follow-up.
What if there is a system outage?
In the event of any downtime, calls are automatically re-routed to your existing phone system within seconds. This built-in failover ensures no disruption to patient access or continuity of care.
