Step 7 - Dashboard Access & User Permissions

Your QuantumLoopAI dashboard gives you visibility over how EMMA is handling calls and managing patient enquiries. It allows your team to monitor activity, review patient submissions, and understand how your service is performing.

Accessing your Dashboard

Once your setup begins, you will receive an email with your login details.

  • Click the link in the email
  • Set your password
  • Log in to access your dashboard

If you do not receive this email, please check your spam or junk folder.

Who should have access

We recommend providing access to:

  • Practice Manager or Operations Lead
  • Reception or Admin Team Leads
  • IT or Systems Contact (if applicable)

Additional users can be added at any time by contacting our team.

What you can do in the Dashboard

Depending on your access level, you will be able to:

  • View calls handled by EMMA
  • Read call transcripts
  • Track patient enquiries and submissions
  • Monitor system performance and usage
  • Access key setup information

User Access Levels

We provide two levels of dashboard access depending on what your team needs.

Level 1 — Activity Access

Best for: Reception teams and day-to-day users

With Level 1 access, you can:

  • View patient submissions created by EMMA
  • Read call transcripts
  • See outcomes of individual calls
  • Track actions taken (e.g. submitted, transferred, escalated)

This level does not include:

  • Call statistics or reporting
  • Performance or usage data

👉 Focus: Individual patient activity

Level 2 — Full Access (Analytics & Reporting)

Best for: Practice Managers and operational leads

Includes everything in Level 1, plus:

  • Call volumes and trends
  • Missed vs handled calls
  • Peak times and demand patterns
  • Performance insights and usage data

👉 Focus: Overall performance and workload


Making changes

To ensure your system runs smoothly, most configuration changes (such as call flows, transfer rules, and integrations) are managed by the QuantumLoopAI team.
