Step 5 – Digital Patient Communication Assets

Helping patients feel informed and brought on board with changes at the practice is key to a smooth EMMA rollout. When patients understand what’s happening and what to expect before they call, they’re more confident, more prepared, and more likely to engage positively with the new system.

Alongside the physical materials delivered to your surgery, we’ve created a comprehensive set of digital patient communication assets to support patient awareness and understanding across your online channels.

Why Digital Communication Is Important

Digital communication helps you:

  • Reach patients before they contact the practice
  • Reinforce messages seen in the surgery
  • Prepare patients who may not visit in person
  • Build familiarity and confidence ahead of go-live

When patients feel informed and included, the transition to EMMA is smoother for both patients and practice teams.

        What’s Included

You’ll receive access to a folder containing:

          • Social media graphics with suggested post wording
          • Email templates for patient communications
          • Website notice templates
          • A patient explainer video

The patient explainer video is particularly effective. It walks patients through what happens when they call the practice, how EMMA works, and why EMMA is being introduced, helping to build confidence ahead of your go-live date.

How to Use the Digital Assets

You can use these materials flexibly, depending on how your practice normally communicates with patients:

          • Publish notices on your practice website
          • Share posts on social media (e.g. Facebook, X)
          • Include content in patient newsletters or SMS campaigns
          • Display the video in your waiting room if you have digital screens

You don’t need to use everything. Even light, consistent communication can make a meaningful difference.

          Timing Guidance

There’s no immediate action required. We recommend reviewing the materials and planning when to deploy them.

For best results, begin patient communications at least one week before your EMMA go-live date, alongside the physical materials in your surgery.

If you’re unsure how best to use the digital assets, the QuantumLoop AI team can support you with guidance based on what works well for similar practices.
