How to Run an Outbound Campaign with MARIA

MARIA allows your practice to run automated outbound calling campaigns to patients at scale. This article explains how to create a campaign using the Campaign Configuration Wizard, how to monitor it, and how to stop it if needed. MARIA is currently in beta and available to beta pilot practices only.

This article helps Admin users at beta pilot practices create, launch, and manage outbound campaigns with MARIA. It covers the end-to-end process from setup through to reviewing outcomes.

Before You Start

MARIA is currently in a controlled beta pilot. The following conditions apply:

  • Your practice must be enrolled in the MARIA beta programme. If you are not sure whether your practice has access, contact support@quantumloopai.com.
  • Campaign creation and management is restricted to Admin users only. Standard users cannot access MARIA.
  • QuantumLoopAI monitors performance, engagement rates, and call outcomes closely during the beta phase.

What MARIA Campaigns Can Be Used For

MARIA is designed for proactive patient outreach. Common campaign types include:

  • Appointment reminders
  • Health review invitations
  • Routine care outreach
  • Follow-up calls for patients due a recall

The Campaign Process

Running a campaign with MARIA involves four stages:

  1. Create the campaign using the Campaign Configuration Wizard
  2. Launch the campaign from the dashboard
  3. Monitor progress in real time
  4. Review outcomes at patient level once the campaign completes

Step-by-Step Instructions

Step 1: Access MARIA in the Dashboard

  1. Log in to the QuantumLoopAI dashboard at https://quantumloopai.com/ql-dashboard
  2. Navigate to the MARIA section from the left-hand menu.
  3. If MARIA is not visible, your account may not have Admin access or your practice may not be enrolled in the beta. Contact support@quantumloopai.com to confirm.

Step 2: Create a Campaign Using the Campaign Configuration Wizard

  1. Click Create Campaign (or equivalent button) to open the Campaign Configuration Wizard.
  2. Work through each step of the wizard. The wizard guides you through all required configuration options one step at a time, minimising the risk of errors.
  3. Configure the following as prompted:
    • Campaign name
    • Campaign type (for example, appointment reminder, health review)
    • Patient list — the list of patients MARIA will call
    • Calling schedule — the days and times MARIA should make calls
    • Campaign message or script
  4. Review your configuration on the summary screen before confirming.
  5. Save the campaign. It will appear in your campaign dashboard with a status of Ready or Pending.

Step 3: Launch the Campaign

  1. From the campaign dashboard, locate the campaign you have created.
  2. Click Launch (or equivalent button) to start the campaign.
  3. MARIA will begin making outbound calls to the patients on your list according to the schedule you configured.

Step 4: Monitor the Campaign in Real Time

While the campaign is running, the campaign dashboard shows:

  • Campaign status (active, paused, completed)
  • Number of calls attempted and completed
  • Real-time progress against the full patient list
  • High-level performance metrics

You do not need to take any action while the campaign runs unless you need to pause or stop it.

To stop a campaign: If you need to stop a campaign at any time — for example, if there is an issue or the campaign is no longer needed — locate it in the campaign dashboard and click Stop. The campaign will stop immediately and no further calls will be made.


Step 5: Review Call Outcomes

Once the campaign is complete, the campaign dashboard shows patient-level call tracking for every outbound call made. Call outcomes include:

  • Completed
  • Failed
  • No Answer
  • Other outcomes as applicable

A full audit trail is maintained for compliance and governance purposes. Patient-level traceability is available for quality assurance.


Troubleshooting

I cannot see MARIA in the dashboard. MARIA is only available to beta pilot practices. If your practice is enrolled but you cannot see it, confirm that your account has Admin access. Standard users cannot access MARIA. Contact support@quantumloopai.com if you need further assistance.

The Campaign Configuration Wizard is not letting me proceed past a certain step. Check that all required fields on the current step are completed. If the wizard appears to be stuck despite all fields being filled, contact support@quantumloopai.com with a description of the step where the issue is occurring.

A campaign has launched but calls are not being made. Check the campaign status in the dashboard. Confirm that the calling schedule you configured includes the current time and day. If the schedule is correct and calls are still not being made, contact support@quantumloopai.com with your campaign name and details.

We need to update a campaign that is already running. Campaigns cannot be edited once launched. Stop the current campaign and create a new one with the updated configuration.

We want to pause a campaign temporarily. Contact support@quantumloopai.com to discuss whether a pause function is available for your campaign type during the beta phase.
